Overview:
The Admission Assistant will assist the Director of Admission and the Associate Director of Admission in implementing all activities in line with meeting the school’s enrollment goals. This is a highly detail-oriented job. The position maintains accurate data on approximately 500 records and works closely with the Director of Admission in providing monthly and yearly reports, compiling special tracking reports, and other information as needed. This position is also responsible for organizing and tracking applicant admission and financial aid files. The job requires exceptional organizational skills as well as interpersonal skills to connect with interested families, both over the phone and in person.
This is a full-time, non-exempt, hourly position ($18-20 per hour).
Administrative Responsibilities (Admission):
- Data entry, management, and report generating using SchoolAdmin software and supporting Microsoft products
- Manage SchoolAdmin online inquiry and online application systems (rollover, annual updates etc.)
- Manage and track all pieces of an applicant’s admission file (paper and electronic) in SchoolAdmin database and follow-up appropriately.
- Manage, track and input all applications from partner sites: Standard Application Online (SAO), Gateway and A Better Chance (ABC)
- Handle mailing of appropriate materials (inquiry packets, acceptance gifts, appreciation gifts, etc.)
- Manage all online admission directories and check regularly to assure accurate information is listed and to maximize our online exposure (TABS, boardingschoolreview, Niche.com, SSAT, etc.)
- Telephone duties (fielding general admission inquiries and assisting with applicant follow-up as needed.)
- Execute online enrollment process for new and returning families. (Manage updates of online forms, deploy mailings, track the return of required forms and distribute to appropriate internal departments. Work closely with business office on receipt of registration agreements and deposits.)
- Manage various e-communication lists and deploy monthly e-newsletters (Constant Contact software) and other communications as necessary.
- Complete annual DASL report (attrition, financial aid, ethnicity break down etc.) in September.
- Assist with admission travel: travel arrangements, scheduling, preparing promotional material.
- Assist with special school-wide events such as New Parent/Student Orientation, Family Weekend, and Commencement.
- Assist with admission events such as Open House, Admit Day, 7th grade visit day (invitations, set-up, follow-up calls).
- Assist Associate Director with administration of various surveys to applicants and parents throughout the admission process.
- Serve as site liaison for SSAT (proctor standardized tests on several Saturdays throughout the year, recruit additional proctors as necessary, perform additional duties associated with being a test site host.)
- Assist with demographic and market research (MapPoint, SSAT, census, etc.)
- Manage the supply of printed materials (viewbooks, tuition brochures, collateral, etc.)
- Office management (keeping office tidy and welcoming for visitors, preparing coffee and snacks for visitors, working with students in the Household Job program, ordering office supplies, etc.)
